Orderpicking App – All settings, step by step
Set up Orderpicking App in six steps, from connecting your webshop to the tools that speed up your warehouse. Every setting below says what it does and what your team sees in the app.
You find the settings in three places:
- Portal: orderpickingapp.com › My account › App settings. Works for every platform.
- WooCommerce: WordPress › Order Picking App. Settings marked WooCommerce only live here.
- Shopify: Apps › OP App: Smart order picking. Settings marked Shopify only live here.
Restart the app after you change a setting, so it loads your latest settings.
Step 1 – Set up the app
Connect your webshop, the app and your scanner in a few minutes.
- Connect your webshop. Log in at orderpickingapp.com and open App settings. Enter the address of your webshop. On WooCommerce, download and install the plugin first. Your unique API key is shown as a barcode.
- Install the app. Download Orderpicking App for iOS or Android. It runs on a phone, a tablet and on PDA scanners. New here? Tap Start trial to try it free for 30 days.
- Connect the app. Tap I already have an API key. Scan the API key barcode in your portal, or type the key, and tap Save.
- Add your name and logo. Enter your company name and upload your logo (PNG or JPG). Your team sees your own logo in the app.
- Choose how you scan. Pick the scanner your team works with:
- Phone camera
- Phone with a Bluetooth scanner
- Android, Zebra or another PDA with a built-in scanner
The app shows Scanner enabled when it is ready to scan.
Step 2 – Add your team (Users)
Add every employee who works with the app and decide what each person can do.
- Add users. In Settings › Users, add a row per employee. Everyone picks their own name in the app and taps Login. The picker’s name is saved in the order notes.
- Password and time window. Optionally protect a user with a password, or set a start and end time. The user can only log in between those times.
- Log in by name. Turn on manual input of picker username and password (App functions). Users then type their name and password instead of picking from the list.
- Choose a user type. The type decides which part of the app a user works in:
- Picker: picks orders. On Shopify you can choose Picker, Packer or Picker + Packer; each type only sees its own tabs.
- Inventory: works in the Inventory add-on.
- Sales: works in the Point of Sale add-on.
- Delivery (WooCommerce only): sees the delivery orders.
- Set the picking amount. Per picker: Single order, or batch picking with 2 to 20 orders in one round.
- Force scan. The picker has to scan every product. The – and + buttons disappear, so quantities can’t be typed in.
- One location per user (Shopify only). Link a user to one Shopify location. The user only sees orders and products from that location.
Step 3 – Set your order flow
Decide which orders come into the app and what happens to them after picking.
- Choose which orders to load (WooCommerce only). Tick the order statuses to pick from. Only those orders appear in the app.
- Order prefix and start date (WooCommerce only). Add your own prefix to order numbers, and only load orders from a set date (YYYY-MM-DD).
- Change statuses automatically (WooCommerce only). Set the status when a picker claims an order, the status for packing, and the status when picking and packing are done.
- Skip packing. Orders are completed right after picking. The Packing tab disappears from the app.
- Order handling. Choose how orders are completed:
- Auto complete the order after picking and packing.
- Disable backorders: quantities are set to what was really picked.
- Disable product combining: each order line is picked on its own instead of merged by SKU.
- Enable manual order assigning to pickers.
- Pickup list (WooCommerce only). Select the shipping methods that mean pickup. After picking and packing, those orders move to the Pickup tab, so you can hand them over at the counter.
- Delivery list (WooCommerce only). Enable the delivery list and select the shipping methods your own driver delivers. Users with the Delivery type see these orders.
- Status per shipping method (WooCommerce only). After picking, set a different order status for each shipping method, such as local pickup, flat rate or free shipping.
- Tags in Shopify (Shopify only). The app adds tags to your orders: the batch (BATCH), the steps (Picking, Packing) and the picker (USER). Partial fulfilment is possible too.
Step 4 – Choose what the app shows (App layout)
Show your team exactly the information they need while picking.
- Hide the order total. The order price disappears from the order screen.
- Hide the product description. No description on the product screen.
- Show the description in the product list. The description appears under each product while picking.
- Hide category or location. Removes the category or location line from the product screen.
- Custom order field in the picking list. Shows your custom order field in the picking list view. By default it is only on the order detail page.
- Images in the PDF picklist. Adds a photo of every product to the PDF picking list.
- Your own product fields (WooCommerce only). Tell the app which product fields hold the location, the EAN, a second box barcode and the box amount. The box barcode shows as an extra line under the barcode in the app.
Step 5 – Switch on extra functions (App functions)
Turn on the features that fit the way your team works.
- Pre-picking. Adds a Picklist tab with every product you still need to pick for all open orders, coloured by stock status.
- Load orders by order number only. Hides the order list. Pickers scan or type an order number to open an order.
- Fast picking and fast packing. Tap an order and start right away, without a confirmation step.
- Packing check. Every product has to be scanned or completed before an order can be finished. A counter shows how many products are packed.
- Custom order select. Pickers choose the orders for their own batch picking list in the app.
- Disable stock updates. Stock can no longer be changed from within the app.
- Stock changes of one. In the Finder, stock only goes up or down by 1 at a time.
- Picking timer. Shows a timer when a picker starts an order. The time is not saved yet.
- Push notifications. All connected devices get a message when new orders are ready for picking.
Step 6 – Use the tools
Tools that save walking, paper and questions in your warehouse.
- Picking route. Choose the order in which products appear: by category (default), SKU, title, barcode, or a product or order custom field, A–Z or Z–A. On WooCommerce, drag your categories into your walking order.
- Desktop Packing. Pack orders in a browser on a computer at your packing station, without a WordPress login. Only the IP addresses you allow get access.
- Picklists and summaries. Download a PDF picklist (every product to pick, with a page per order), a PDF of backorders, and order or product summaries as PDF or CSV.
- Order label design (WooCommerce only). Choose your own logo and what the A6 order label shows: order number, postcode, customer name and comments. The live preview updates right away.
- Order labels (Shopify only). Select orders, or Select all, and print A6 order labels in one go.
- Barcodes (Shopify only). Create barcode labels for your products from the SKU or EAN field.
- Narrowcasting. Show a live order status dashboard on a screen in your warehouse. Choose to hide prices, show the shipping method, the number of columns and your own background.
- Analytics (WooCommerce only). See orders per month, processing times and results per picker, with charts.
- Logs. Find out exactly what happened to an order. Filter by order ID or app user.
Add-ons – Inventory and Point of Sale
Inventory
- Create an Inventory user. In Settings › Users, add a user with the type Inventory. The user appears in the app right away.
- Count your stock. Open the Inventory tab and scan or search a product.
- Compare stock and count. Every scan adds a line. Orange means a difference, green means the stock is correct.
- Count summary as PDF. Tap PDF for a summary of your count. You find it later under Archive.
- Process the differences. Tap Process stock mutations first. The stock of the orange lines is updated.
- Confirm correct stock. Then tap Process correct inventory. These products get a date that shows their stock was checked.
- Add new stock. In the Add stock tab, scan a product and book the new amount.
- Find any product. Search by SKU, barcode or title and adjust the stock.
